Privacy policy

This policy explains what personal information Tethen holds, why we hold it, who else processes it and what you can ask us to do with it.

This document is a plain-English starting point written for the Tethen platform. Have it reviewed by a qualified adviser before you rely on it commercially.

1. Who is responsible for your data

For coach accounts, Tethen decides how account data is handled and is responsible for it.

For client data inside a coaching business, the coach decides what is collected and why. Tethen holds and processes that data on the coach's behalf, following their instructions.

If you are a client and want your data changed or removed, ask your coach first — they control the record.

2. What we hold

Account details: name, email address, password (stored only as a secure hash), business name and role.

Coaching records a coach enters: client contact details, goals, notes, training programmes, nutrition plans, check-in answers, body measurements, progress photos, session logs and food entries.

Communications: messages between a coach and a client sent inside the app, and emails we send on the coach's behalf.

Billing records: the package a business is on, add-ons, and the payments a coach records in their own ledger.

Technical data: sign-in events, error reports and basic usage information needed to keep the service working.

3. Why we hold it

To provide the service you or your coach signed up for — showing plans, recording progress, delivering messages and bookings.

To keep accounts secure and to investigate misuse.

To bill coach accounts and keep accurate records of what a business is entitled to use.

To improve the product by understanding which features are used and where errors happen.

4. Health-related information

Measurements, photos, food logs and check-in answers can reveal information about a person's health. That data is only visible to the client it belongs to and to coaches in the same coaching business.

Clients choose what they submit. A client can decline to answer a check-in question or to upload a photo.

5. Who processes data for us

We use a small number of service providers to run the platform: cloud hosting and database services, an email delivery service, and a video calling provider for coaching calls.

Barcode lookups for food items may query a public food database. Only the barcode is sent — never anything that identifies a person.

Providers act on our instructions and are not permitted to use the data for their own purposes.

6. Where data is held

Data is hosted with our cloud providers and may be processed in other countries. Where data moves outside your region we rely on the safeguards our providers offer for those transfers.

7. How long we keep it

Active accounts keep their records for as long as the account is open, because coaching history is the point of the product.

When a coach account closes, records are retained for a limited period so the account can be reactivated, then deleted.

A client record archived by a coach is kept until the coach deletes it or their account closes.

8. Your choices

You can ask for a copy of your data, ask for it to be corrected, or ask for it to be deleted.

Clients should raise these requests with their coach, who can act on them directly in the app. Coaches can contact us for help with their own account data.

You can opt out of marketing emails from a coach using the unsubscribe link in those emails. Service emails, such as password resets, are not marketing.

9. Security

Access is restricted so a person can only reach data belonging to their own coaching business, enforced at the database level rather than only in the app.

Passwords are never stored in readable form. Access to production systems is limited to the people who need it.

No system is completely secure. If a breach affects your data we will notify those affected as required by law.

10. Contact

Privacy questions can be sent to the support address shown in your account. Clients should contact their coach in the first instance.
